What is Asset Management?

Eleo’s Asset Management module lets you track every physical asset your business owns — equipment, furniture, vehicles, electronics, and more — across their full lifecycle. From the moment an asset is acquired to the day it is disposed of, you have a single source of truth for its location, value, condition, and maintenance history.

Whether you run a single store or a multi-location operation, Asset Management helps you maintain accountability, reduce losses, and make informed decisions about repairs, replacements, and capital investment.

How it works

Asset Management is built around a straightforward lifecycle that every asset follows:

  1. Register — Add the asset to the system with its acquisition details, category, serial number, and depreciation settings.
  2. Activate — Move the asset from draft to active status once it is deployed and in use.
  3. Track — Monitor depreciation, schedule maintenance, assign custody to team members, and record condition changes over time.
  4. Transfer — Move assets between stores with a full approval workflow that preserves valuation history.
  5. Dispose — When an asset reaches end of life, record its disposal method, any proceeds, and the reason for retirement.

The asset lifecycle follows these statuses: Draft → Active → Under Maintenance → Disposed / Transferred / Retired.

Key features

  • Asset Registry — A central catalogue of all physical assets with serial numbers, categories, acquisition details, and current condition.
  • Depreciation & Valuation — Automatically calculate asset depreciation using straight-line, declining balance, or units-of-production methods. Track book value over time.
  • Maintenance Scheduling — Schedule preventive maintenance by interval, usage, or calendar. Log corrective repairs, inspections, and cleaning with cost tracking.
  • Inter-store Transfers — Move assets between stores with a multi-step approval workflow: pending approval, approved, in transit, and completed.
  • Custody Tracking — Assign assets to team members with primary responsibility, temporary use, or operational assignment types. Verify condition on return.
  • Asset Groups — Organise related assets into groups — similar assets, coupled assets, or fleets — for aggregated tracking and group-level operations.
  • Disposal Management — Record end-of-life disposals with method, proceeds, recipient, and a complete audit trail from acquisition to retirement.
  • Bulk Import — Use the import wizard to add dozens or hundreds of assets at once from a spreadsheet.
  • Dashboard & Analytics — View total asset value, depreciation trends, upcoming maintenance, overdue items, and asset distribution across stores.
Categories simplify setup

Create asset categories with default depreciation methods, useful life, and salvage values. When you add a new asset and assign it to a category, these defaults are applied automatically — saving time and ensuring consistency.

The Asset Management dashboard provides a high-level view of your asset portfolio, including total value, status distribution, and recent activity.

Getting started

To begin using Asset Management, follow these steps in order:

  1. Set up asset categories with default depreciation settings for the types of assets your business uses (e.g. electronics, furniture, vehicles).
  2. Register your assets by adding them individually or using the bulk import wizard to upload a spreadsheet.
  3. Configure maintenance schedules for assets that require regular servicing or inspections.
  4. Assign custody to team members responsible for high-value or shared assets.
  5. Monitor the Asset Dashboard for depreciation trends, upcoming maintenance, and asset distribution across your stores.
