Safe Drops

Move excess cash from the register drawer to the safe and track verification.

A safe drop is the process of moving excess cash from a register drawer to the store safe. This reduces the amount of cash at risk in the drawer and is a standard retail security practice. Eleo tracks every safe drop, requires a second person to verify the amount, and generates alerts when safe drops are overdue.

When to perform a safe drop

Safe drops should be performed when:

  • The drawer exceeds the maximum cash threshold configured on the register. Eleo will display a reminder when this happens.
  • Your store policy requires safe drops at regular intervals (e.g. every two hours or after every 50 transactions).
  • A manager requests a safe drop as part of a spot check or security measure.

The safe drop interval can be configured in your Cash Policy settings. When the interval elapses without a safe drop, Eleo generates an alert for the shift manager.

Performing a safe drop

  1. 1

    Initiate the safe drop

From the active shift view or the Cash Dashboard, click Safe Drop. A modal opens where you enter the amount being removed from the drawer.

  2. 2

    Enter the amount

Count the cash you are removing and enter the total amount. If denomination counting is required by your store policy, enter the breakdown by denomination. Add an optional note (e.g. “Moved to back office safe”).

  3. 3

    Submit the safe drop

Click Submit to record the safe drop. The amount is immediately deducted from the shift’s expected drawer balance. The safe drop enters a Pending Verification status.

  4. 4

    Manager verifies

A manager or shift lead counts the dropped cash and verifies the amount. They can confirm the amount matches or record a discrepancy. Once verified, the safe drop status changes to Verified.

Safe drop statuses

  • Pending Verification — The cashier has submitted the safe drop but it has not yet been confirmed by a second person.
  • Verified — A manager has confirmed the amount.
  • Discrepancy — The verifier found a different amount than what was recorded. An alert is generated automatically.
Two-person verification builds trust

The two-person verification process ensures no single individual can remove cash from the drawer without oversight. This is one of the most effective controls against cash theft.

Ledger entries

When a safe drop is verified, Eleo creates a journal entry moving the cash between accounts:

  • Debit: Cash in Safe (1020)
  • Credit: Cash in Drawer (1010)
