Cash Management

Track cash registers, manage shifts, reconcile drawers, and detect discrepancies across your stores.

What is Cash Management?

Eleo’s Cash Management module gives you complete visibility and control over physical cash flowing through your business. It covers everything from opening a cash drawer at the start of a shift to reconciling the expected versus actual amount at the end of the day, and depositing surplus cash at the bank.

Retail businesses typically lose 1–3% of revenue annually to cash shrinkage. Cash Management helps you detect discrepancies early, enforce accountability, and build a reliable audit trail so you can pinpoint exactly where money goes missing.

How it works

The module is built around a simple daily workflow that your team follows:

  1. Open a shift — A cashier selects a register, counts the opening float, and begins their shift. All cash transactions from that point are attributed to this shift.
  2. Process sales — Cash transactions from the POS are automatically linked to the active shift. No manual entry is needed.
  3. Mid-shift checks — Managers can run spot checks at any time to verify the drawer balance without closing the shift. Safe drops move excess cash from the drawer to the safe.
  4. Close and reconcile — At the end of the shift the cashier performs a physical cash count. Eleo compares this against the expected amount and flags any variance.
  5. Approve — A manager reviews the reconciliation, investigates any discrepancies, and approves or rejects the shift close.
  6. Deposit — Surplus cash is recorded as a bank deposit and tracked through to verification.

Key features

  • Cash Registers — Set up and manage physical cash drawers with default floats, maximum thresholds, and assigned cashiers.
  • Shift Lifecycle — Open, run, and close shifts with full denomination counting and automatic POS integration.
  • Auto-Reconciliation — The system calculates expected cash automatically from POS transactions, safe drops, and float adjustments.
  • Spot Checks — Perform unannounced mid-shift cash counts to catch issues early.
  • Safe Drops — Move excess cash from the drawer to the safe and track verification.
  • Alerts & Escalation — Automatic alerts for variance thresholds, long shifts, overdue safe drops, and cashier patterns. Configurable escalation to managers.
  • Bank Deposits — Track cash deposits from safe to bank with a full status workflow.
  • Cash Policies — Configure variance thresholds, drawer limits, shift rules, and escalation settings per store or across your organization.
  • Reports — Daily summaries, cashier performance, variance trends, safe drop audits, and deposit tracking.
  • Organization Dashboard — Compare cash performance across all your stores from one screen.
POS integration is automatic

When a customer pays with cash, Eleo automatically creates the corresponding cash transaction and links it to the active shift. Your cashiers do not need to record cash sales separately — the POS handles everything.

Getting started

To begin using Cash Management, follow these steps in order:

  1. Set up your Cash Policies to define variance thresholds, drawer limits, and shift rules for your store.
  2. Create your Cash Registers with default opening floats and assign them to locations.
  3. Train your team on the shift workflow: open, transact, spot check, safe drop, close, and reconcile.
  4. Monitor the Cash Dashboard and set up alert recipients to stay on top of discrepancies.
