Alerts & Escalation

Automatic alerts for cash discrepancies, long shifts, overdue safe drops, and cashier patterns with configurable escalation.

Eleo continuously monitors your cash operations and generates alerts when something needs attention. Alerts range from simple threshold breaches to sophisticated pattern detection across multiple shifts. Combined with configurable escalation, they ensure the right people are notified at the right time.

Alert types

The system generates the following types of alerts automatically:

Variance threshold exceeded

Triggered when a shift is closed and the variance between expected and actual cash exceeds the threshold defined in your cash policy. This is the most common alert type and is the primary mechanism for catching discrepancies.

Drawer limit exceeded

Triggered when a cash transaction causes the drawer balance to exceed the register’s maximum cash threshold. This is a reminder to perform a safe drop.

Long shift duration

Triggered when a shift has been open longer than the maximum duration configured in your cash policy (e.g. 10 hours). Long shifts increase risk and may indicate a forgotten close. The system checks for long shifts every 15 minutes.

Overdue safe drop

Triggered when the configured safe drop interval has elapsed without a safe drop being performed. The system checks every 30 minutes. This helps enforce your store’s safe drop schedule.

Unattributed transactions

Triggered when a cash sale or refund occurs but the cashier does not have an active shift. These transactions cannot be reconciled against a shift and need manager attention.

Spot check variance

Triggered when a mid-shift spot check reveals a variance that exceeds the configured threshold. This requires immediate investigation.

Consecutive shortage pattern

Triggered when a cashier has three or more consecutive shifts with shortages. This pattern detection runs hourly and helps identify systematic issues that individual shift variances might not reveal.

Alert lifecycle

Each alert moves through a defined lifecycle:

  1. Open — The alert has been generated. An in-app notification is sent to managers with the view_cash_alert permission.
  2. Acknowledged — A manager has seen the alert and taken responsibility for handling it.
  3. Investigating — The alert is actively being investigated. The investigating manager can add notes.
  4. Resolved — The issue has been identified and addressed. A resolution note is required.
  5. Dismissed — The alert was a false positive or does not require action. A reason is required.

Automatic escalation

If an alert is not acknowledged within the configured grace period (default: 30 minutes), Eleo automatically escalates it. Escalation sends push notifications and email to the escalation recipients configured in your cash policy.

You can configure escalation behaviour in your cash policy settings:

  • Enable/disable auto-escalation per alert type.
  • Escalation delay — How long to wait before escalating (e.g. 30 minutes, 1 hour).
  • Escalation recipients — Choose specific team members or roles who receive escalated alerts.

Escalation does not change the alert status. It adds additional recipients and creates a record that the alert was escalated. The original alert still needs to be acknowledged and resolved by a manager.

Viewing alerts

Navigate to Cash & Tills → Alerts to see all active and historical alerts. The alerts panel is also visible on the Cash Dashboard for quick access. You can filter alerts by type, status, register, and date range.

Act on alerts promptly

The value of alerts diminishes rapidly with time. A variance investigated immediately after a shift is much easier to resolve than one investigated days later. Set up escalation to ensure alerts are never left unattended.
