Add and manage customer profiles, view purchase history, and track outstanding balances with the debtors list.

Keeping track of your customers is essential for building lasting relationships and understanding your buyers. Eleo lets you create customer profiles that store contact information, record every purchase they make, and flag any outstanding balances. Whether you are a retail store building a loyalty base or a wholesaler managing credit accounts, the Customers module gives you the tools to stay on top of it all.

Adding a new customer

You can add customers from the dedicated Customers section or directly during order creation. Here is how to add a customer from the Customers page.

    Navigate to Customers

    Open the sidebar and click Customers. This takes you to the customer list where you can browse, search, and manage all of your customer profiles.

    Click "Add Customer"

    Click the Add Customer button in the top-right corner to open the customer creation form.

    Fill in customer details

    Enter the customer's information. The following fields are available:

    • Name (required) — The customer's full name. This is used to identify them throughout the system.
    • Phone number — The primary contact number. This is also used for searching customers during order creation.
    • Email address — Used for sending digital receipts and communications.
    • Address — The customer's physical address, useful for delivery orders or invoicing.

    Save the customer profile

    Click Save to create the customer profile. The customer is now available for selection on all future orders and their profile will begin accumulating purchase history automatically.

Add customers during checkout

You do not have to create customer profiles in advance. When creating an order through the POS or order form, click Add Customer and you will see an option to create a new customer right from the checkout screen. This is the fastest way to capture customer details without interrupting the sales flow.

Customer profiles

Each customer has a dedicated profile page that serves as a central hub for all their interactions with your store. The profile includes:

  • Contact details — Name, phone, email, and address. These can be updated at any time.
  • Purchase history — A chronological list of every order placed by the customer, including order totals, dates, and statuses. Click any order to jump to its detail page.
  • Account balance — If the customer has any outstanding balances (unpaid orders or credit), the balance is shown prominently on their profile. Store credits from refunds are also tracked here.
  • Lifetime spend — The total amount the customer has spent at your store across all orders. This is helpful for identifying your most valuable customers.

Viewing purchase history

The purchase history tab on a customer profile lists every order associated with that customer, sorted by date with the most recent first. Each entry shows the order number, total amount, payment status, and order status. You can use the date filter to narrow the list to a specific time period, which is useful for reviewing a customer's recent activity or generating statements.

Debtors list

The debtors list is a filtered view that shows all customers who have outstanding balances — that is, customers who owe your store money. This is accessible from the Customers section by clicking the Debtors tab.

The debtors list displays each customer's name, contact information, total outstanding amount, and the date of their oldest unpaid order. You can sort by amount or date to prioritize collections. Clicking a customer in the list opens their profile where you can view the specific unpaid orders and record payments.

Searching and filtering customers

The Customers list includes a search bar that lets you find customers by name, phone number, or email address. You can also filter the list by various criteria:

  • Has outstanding balance — Show only customers who currently owe money.
  • Date added — Filter by when the customer profile was created.
  • Last order date — Find customers who have or have not placed orders within a specific time period. This is useful for identifying inactive customers who might benefit from outreach.
