Transfers
Move assets between stores in your organisation with a multi-step approval workflow.
When an asset is needed at a different location, Eleo’s transfer workflow lets you move it between stores with full visibility and accountability. Every transfer goes through a structured approval process so that both the source and destination stores know exactly what is moving, when, and why.
Transfer workflow
A transfer moves through the following statuses from initiation to completion:
- Pending Approval — The transfer has been initiated and is waiting for a manager to review and approve it.
- Approved — A manager has approved the transfer. The asset is ready to be dispatched.
- In Transit — The asset has left the source store and is on its way to the destination.
- Completed — The destination store has received the asset and confirmed its condition.
A transfer can also be Rejected (with a reason) or Cancelled at any point before completion. In both cases, the asset remains at the source store with no changes to its record.
Initiating a transfer

Select the asset
Navigate to the asset’s detail page and click Transfer, or go to Asset Management → Transfers and click New Transfer.

Choose the destination store
Select the store where the asset should be sent. Only stores within your organisation are available as destinations.

Add reason and notes
Provide a reason for the transfer and any additional notes that will help the approver and the receiving store understand the context.

Submit for approval
Click Submit to create the transfer request. It moves to Pending Approval status and the relevant managers are notified.
Approving a transfer
A manager at either the source or destination store can review a pending transfer. The approver sees the asset details, current condition, book value, reason for transfer, and any attached notes. After reviewing, they can:
- Approve — The transfer moves to Approved status and the source store can dispatch the asset.
- Reject — The transfer is rejected with a reason. The asset stays at the source store and no changes are made.
Receiving a transfer
When the asset arrives at the destination store, a team member confirms receipt by navigating to the transfer and clicking Confirm Receipt. During confirmation, the receiver verifies the asset’s condition and can update it if there are any changes from transit (e.g. damage during shipping). Once confirmed, the transfer moves to Completed status and the asset is now assigned to the destination store.
Rejection
If a transfer is rejected, the approver must provide a reason. The asset remains at the source store, its location and status are unchanged, and the initiator is notified of the rejection along with the reason. Rejected transfers are retained in the transfer history for audit purposes.

Asset valuation is preserved during transfers. The asset’s book value, accumulated depreciation, and valuation history carry over to the destination store. The transfer itself does not affect the asset’s financial records.
