Team Calendar

See who is off across the team in one grid, and use the store-wide calendar to spot scheduling conflicts.

Eleo has two calendar views, and they answer different questions. The team leave calendar under Scheduling answers “who is off, and when?”. The store calendar answers “what is happening in this business this week?” and pulls in far more than leave.

The team leave calendar

Open People → Leave Calendar. It is a grid: every team member with leave in the period is a row, every day in the period is a column, and each block of colour is a leave request.

  • Set the window with the From and To dates above the grid. The columns redraw to cover exactly that range, so you can look at a fortnight or a quarter.
  • Colour is the leave type — the colour set on the type itself. A legend under the grid lists only the types actually appearing in the period, so it stays short.
  • Half days are half-height blocks, and hovering a block names the leave type and says whether it is a half day.
  • Weekends are shaded so a run of leave is easy to read against the working week.
  • The member column stays fixed as you scroll sideways through a long date range.

This calendar shows approved leave only. A request still awaiting a decision does not appear, even though it is already being held against that person’s balance — check Leave Requests for anything pending. If nobody has approved leave in the window, the grid is replaced by a “no approved leave found for this period” message rather than an empty table.

Check it before you publish a roster

The leave calendar and your rosters are not wired together — approving leave does not clear anyone’s shifts. Reading this grid over the month you are about to publish is the quickest way to catch somebody rostered on a day they are already off.

The store calendar

Calendar in the main navigation is a different, broader view. It overlays everything time-bound in the business onto one calendar — rostered shifts and approved leave, but also tasks, production runs, orders, payroll runs, cash shifts, procurement, opening hours, public holidays, interviews, and appointments.

  • Filter by category to cut it down to what you care about, and use the colour key to tell the categories apart at a glance.
  • Filter to one team member, or search event titles, to follow a single thread through the week.
  • Span several stores at once if you operate more than one and have access to them — each event is labelled with the store it came from.

Conflict detection

For the period on screen, the store calendar also reports scheduling conflicts — most usefully, somebody rostered on a shift that overlaps their approved leave, and double bookings. When any are found, a banner above the calendar says how many, so you can resolve them before the week starts rather than discovering them on the day.
