Expenses
Record and categorise business expenses to keep track of where your money goes.
The Expenses module lets you track and categorise every business expense — from rent and utilities to office supplies and marketing costs. Accurate expense tracking is the foundation of reliable Profit & Loss reporting and budget management.
Cost classifications
Every expense in Eleo is assigned a cost classification that determines how it appears in your P&L statement and budget reports. The available classifications are:
- Facilities (opex_facilities) — Rent, utilities, maintenance, cleaning, and other costs related to your physical premises.
- Technology (opex_technology) — Internet, software subscriptions, hardware maintenance, and other technology expenses.
- Administrative (opex_admin) — Taxes, insurance, legal fees, accounting services, licenses, and other administrative overhead.
- Wages (payroll_wages) — Base salaries and hourly wages paid to employees.
- Statutory payroll (payroll_statutory) — Employer-mandated contributions such as pension, health insurance, and social security.
- Variable payroll (payroll_variable) — Bonuses, commissions, overtime, and other variable compensation.
Recording an expense

Navigate to Expenses
Go to Finance → Expenses from the sidebar.

Click Add Expense
Click the Add Expense button to open the expense form.

Select category and classification
Choose the expense category (e.g. Rent, Utilities, Marketing) and assign the appropriate cost classification. This determines where the expense appears in your P&L and budget reports.

Enter amount and date
Enter the expense amount and the date it was incurred. You can back-date expenses if needed.

Attach a receipt
Optionally upload a receipt image or PDF for record-keeping. This is useful for auditing and expense verification.

Save
Click Save to record the expense. It will immediately appear in your expense list and be factored into your P&L and budget calculations.

How expenses feed into P&L and budgets
Expenses are automatically grouped by their cost classification and rolled into the relevant sections of your Profit & Loss statement. Facilities, technology, and administrative expenses appear under Operating Expenses. Payroll classifications appear under Payroll Costs.
If you have an active budget, expenses are also compared against your budgeted amounts in real time, so you can see variance and receive alerts when spending approaches your thresholds.
Consistent categorisation ensures accurate P&L reporting. Take a moment when recording each expense to choose the correct classification — this small habit pays off in the accuracy of your financial reports.
