Cash Policies
Configure variance thresholds, drawer limits, shift rules, and escalation settings for your store.
Cash policies define the rules and thresholds that govern how cash management works at your store. They control what triggers an alert, when safe drops are required, how shifts behave, and who gets notified when something goes wrong. Policies can be set at the store level or at the organization level, with store-level settings overriding organization defaults.
Policy resolution
When Eleo needs a cash policy setting, it checks in this order:
- Store-level policy — If the current store has its own policy, those settings are used.
- Organization-level policy — If the store does not have its own policy, the organization’s default is used.
- System defaults — If neither store nor organization has configured a setting, sensible system defaults apply.
This allows you to set a baseline policy for your entire organization and then customize settings for individual stores that have different needs.
Variance thresholds
These settings determine when a cash variance triggers an alert:
- Maximum variance amount — The absolute amount (e.g. 500 NGN) above which a variance is flagged as a discrepancy.
- Maximum variance percentage — The percentage of total cash handled (e.g. 1%) above which a variance is flagged. Whichever threshold is breached first triggers the alert.
If you are setting up cash management for the first time, start with thresholds that match your business reality. A small kiosk handling modest daily cash might tolerate a 200 NGN variance, while a high-volume store should have tighter controls. You can always adjust thresholds as you gather data.
Drawer limits
- Maximum drawer balance — The maximum cash amount allowed in a register drawer. When exceeded, a safe drop reminder is triggered.
- Safe drop interval — The maximum time (in minutes) between safe drops. If this interval elapses without a safe drop, an overdue safe drop alert fires.
Shift procedures
- Require denomination count — When enabled, cashiers must enter a full denomination breakdown (bills and coins) when opening and closing shifts, rather than just a total amount.
- Two-person close count — When enabled, a second person must witness and confirm the closing cash count.
- Maximum shift duration — The maximum number of hours a shift can remain open before a long-shift alert fires (e.g. 10 hours).
Enabling denomination counting adds a few minutes to the open and close process but significantly improves accuracy. It also makes it easier to identify exactly where a discrepancy occurred (e.g. miscounting a specific denomination).
Escalation settings
- Auto-escalation — Enable or disable automatic escalation for each alert type.
- Escalation delay — How long to wait after an alert is generated before escalating (default: 30 minutes).
- Escalation recipients — The team members who receive escalated alerts via push notification and email. Typically this includes store managers and the owner.
Configuring policies
Navigate to Cash & Tills → Cash settings to configure your cash policy. The settings page is organized into four sections matching the categories above. Changes are saved immediately and apply to all future shifts and transactions.
