Creating an Order
Walk through the complete flow of creating a new order, from adding products to processing payment.
Every sale in Eleo starts with an order. You can create orders through the built-in Point of Sale (POS) interface for quick in-person transactions, or through the order form when you need more control over the details. Both approaches follow the same core steps: add products, optionally attach a customer, apply any discounts, and process payment.
Creating an order from the POS
The POS screen is designed for speed. It gives your team a streamlined interface to ring up sales in just a few taps. Here is the step-by-step flow.
- 1
Open the POS or navigate to Orders, then New Order
From the sidebar, click POS to launch the point-of-sale screen. Alternatively, navigate to Orders and click the New Order button in the top-right corner. Both options open the order creation interface.
- 2
Search and add products to cart
Use the search bar at the top to find products by name, SKU, or barcode. Click a product to add it to the cart. If a product has variants (such as size or colour), you will be prompted to select the correct variant before it is added. Adjust quantities using the plus and minus buttons next to each line item.

Optionally select or create a customer
Click the Add Customer button to attach a customer to the order. You can search for existing customers by name or phone number, or create a new customer profile on the spot. Attaching a customer enables you to track their purchase history and manage any outstanding balances.

Apply discounts if needed
To apply a discount, click the Discount button on the cart panel. You can set a percentage discount or a fixed amount off the entire order. Line-item discounts can be applied by clicking the discount icon next to an individual product. Discounts are reflected in the order total immediately.
Permission requiredApplying discounts requires the Admin role or a custom role with the
order.add_discountpermission. Team members without this permission will not see the discount option. - 5
Select payment method
Click Charge to proceed to payment. Eleo supports multiple payment methods including cash, card, bank transfer, and mobile money. You can also split a payment across multiple methods — for example, part cash and part transfer. Select the appropriate method and enter the amount received.

Complete the order
After recording the payment, click Complete to finalize the order. Eleo will automatically update your inventory levels, record the transaction, and generate a receipt. You can print or share the receipt directly from the confirmation screen.

If you are not ready to complete an order, you can save it as a draft and come back to it later. Draft orders are accessible from the Orders list and can be resumed by any team member with the appropriate permissions. This is useful when a customer needs to step away or when you are preparing a large order in advance.
Using the order form
The full order form is available at Orders → New Order. It provides the same functionality as the POS but in a more detailed layout, making it suitable for back-office order entry or for orders that require additional notes, custom line items, or specific delivery details. The form includes fields for customer information, shipping address, order notes, and tax overrides.
What happens after you create an order
Once an order is completed, several things happen automatically:
- Inventory is updated — stock levels for all products in the order are decremented immediately.
- A receipt is generated — the receipt is available for printing or sharing via WhatsApp or email.
- The order appears in reports — the sale is reflected in your daily sales summary and all relevant analytics dashboards.
- Customer history is updated — if a customer was attached, the order is added to their purchase history.
