Disposal

Record end-of-life asset disposals with method, proceeds, recipient information, and a complete audit trail.

When an asset reaches the end of its useful life — whether it has been sold, scrapped, donated, or lost — Eleo lets you record its disposal with all the relevant details. This ensures your asset register stays accurate, financial records reflect the change, and you maintain a complete audit trail from acquisition to retirement.

Disposal methods

Select the method that best describes how the asset is being retired:

  • Sold — The asset was sold to an external party. Record the sale price as proceeds.
  • Scrapped — The asset was dismantled or destroyed because it was no longer functional or economically viable to repair.
  • Donated — The asset was given away to another organisation, charity, or individual at no cost.
  • Traded In — The asset was exchanged as part of a trade-in deal toward the purchase of a replacement. Record the trade-in value as proceeds.
  • Lost — The asset is missing and cannot be located after a reasonable search.
  • Written Off — The asset is being removed from the books due to obsolescence, irreparable damage, or other reasons without a physical disposal event.

Recording a disposal

    Select the asset

    Navigate to the asset’s detail page and click Dispose. The asset must be in Active or Under Maintenance status to be disposed of.

    Choose the disposal method

    Select the appropriate method from the list: Sold, Scrapped, Donated, Traded In, Lost, or Written Off.

    Enter proceeds

    If the asset was sold or traded in, enter the amount received. For other disposal methods, this field can be left at zero. Proceeds are recorded for financial reporting and gain/loss calculations.

    Add recipient information

    For sold, donated, or traded-in assets, record who received the asset. This can be a company name, individual, or organisation. This information becomes part of the permanent disposal record.

    Add notes

    Provide any additional context about the disposal, such as the reason for retirement, condition at disposal, or reference to related purchase orders or invoices.

    Confirm the disposal

    Review all details and click Confirm Disposal. The asset’s status changes to Disposed and a final valuation event is recorded in the asset’s history.

Proceeds tracking

When an asset is sold or traded in, the proceeds are recorded against the disposal record. Eleo calculates the gain or loss on disposal by comparing the proceeds to the asset’s book value at the time of disposal:

  • Gain — Proceeds exceed the book value.
  • Loss — Book value exceeds the proceeds.

This information is available on the disposal record and in financial reports.

Audit trail

Every asset in Eleo maintains a complete history from acquisition to disposal. The audit trail includes:

  • Registration details and acquisition information
  • All valuation events (depreciation, revaluation, impairment)
  • Maintenance logs with costs and downtime
  • Custody assignments and returns
  • Transfer history between stores
  • The disposal record with method, proceeds, recipient, and the user who confirmed the disposal

This end-to-end trail ensures full accountability and supports internal audits, insurance claims, and regulatory compliance.

The disposal form captures the disposal method, any proceeds received, recipient information, and notes for the audit trail.
Disposal is permanent

Once an asset is disposed of, its status changes to Disposed and cannot be reverted. The asset will no longer appear in active asset lists, depreciation stops, and maintenance schedules are cancelled. Make sure all details are correct before confirming the disposal.
