Bank Deposits
Track cash moving from the store safe to the bank with a full status workflow.
After cash has been moved from register drawers to the store safe via safe drops, the next step is depositing it at the bank. Eleo tracks every bank deposit from preparation through to verification, giving you a complete audit trail of cash as it leaves your store.
Deposit workflow
Bank deposits move through three statuses:
- Pending — The deposit has been prepared and recorded in the system, but the cash has not yet been taken to the bank.
- Deposited — The cash has physically been handed over at the bank. The cashier who made the trip records this, along with the teller or slip reference.
- Verified — The deposit has been confirmed against the bank statement or receipt. A manager verifies that the bank received the correct amount.
Marking a deposit and verifying it are deliberately separate steps, held at different permission levels. The cashier who carries the cash records the handover; an admin confirms it against the statement. That split is what makes the deposit trail an actual control rather than a log.
Recording a bank deposit

Navigate to Bank Deposits
Go to Finance → Cash & Tills → Dashboard. You will see a list of all deposits with their current status.

Create a new deposit
Click New Deposit. Enter the deposit amount and date, and add an optional reference number or note. The deposit is created as Pending — the cash is still in your safe at this point.

Mark it deposited
Once the cash has actually been handed over at the bank, click Mark Deposited on the deposit. Add the teller or slip reference here if you did not have it when preparing the deposit.

Verify against bank statement
When you receive confirmation from the bank (statement, receipt, or online banking confirmation), click Verify on the deposit. This is the step that posts the deposit to your ledger.
The deposit amount should match the total of safe drops that have not yet been deposited. The system displays the total undeposited cash in your safe to help you determine the correct deposit amount.
Ledger entries
When a bank deposit is verified, Eleo creates a journal entry:
- Debit: Bank Account (1001)
- Credit: Cash in Safe (1020)
Nothing is posted at the Pending or Deposited stages. Until the bank has confirmed the amount, the cash stays in Cash in Safe — so a deposit that is in transit still shows in your safe balance.
Keeping large amounts of cash in the store safe increases risk. Aim to deposit daily or as often as your banking arrangements allow. The Cash Reports section includes an undeposited cash tracker to help you stay on top of this.
