Invoices & Payments

Manage supplier invoices, record payments, handle credit notes, and track payment due dates.

The Invoices & Payments module brings together everything related to paying your suppliers. It lets you record invoices, track payment due dates, process full or partial payments, handle credit notes for returns and adjustments, and link payments to your broader financial records.

Supplier invoices

When you receive an invoice from a supplier, record it in Eleo to keep a centralised log of all amounts owed. Each invoice includes:

  • Invoice number — The supplier’s reference number.
  • Invoice date — When the invoice was issued.
  • Due date — When payment is expected.
  • Total amount — The amount due to the supplier.
  • Linked PO/GRN — The purchase order and goods received note that the invoice relates to.

Linking an invoice to its PO and GRN enables three-way matching during reconciliation, ensuring that the billed amount matches what was ordered and what was actually received.

Recording payments

When you pay a supplier, record the payment against the relevant invoice. Eleo supports:

  • Full payment — Pay the entire invoice amount in one transaction.
  • Partial payment — Pay a portion of the invoice and track the remaining balance. This is useful when you negotiate staged payments or when paying across multiple periods.

Each payment records the date, amount, payment method, and any reference number (e.g. bank transfer reference). The invoice status updates automatically to reflect the outstanding balance.

Credit notes

Credit notes handle situations where the supplier owes you money — for example, when goods are returned, items were damaged, or an invoice was overcharged. Recording a credit note reduces the amount owed to the supplier and adjusts the invoice balance accordingly.

Payment due dates and overdue tracking

Eleo tracks due dates across all supplier invoices and highlights overdue payments. The Invoices list view includes filters for:

  • Due this week — Payments coming due in the next seven days.
  • Overdue — Invoices where the due date has passed without full payment.
  • Partially paid — Invoices with a remaining balance.

Overdue invoices are flagged with a visual indicator and can optionally trigger notifications so nothing slips through the cracks.

The invoice detail page shows the invoice amount, linked PO/GRN, payment history, and outstanding balance.

Linking to Finance

For large invoices that you want to pay over time, you can create a payment plan directly from the invoice. This links the invoice to the Payment Plans module in Finances, where you can set up installments, track progress, and factor the payments into your cash flow forecast.
